Job Description

Executive Assistant

This individual will provide support to senior team members and share in reception and operational support responsibilities in the New York office. Responsibilities of this individual will include handling day to day calendar and meeting management, expense reporting and travel planning, reception and visitor management, printing and binding, as well as additional daily and ongoing administrative tasks.

Key Responsibilities:

  • Provide administrative support to professionals of varying seniority
  • Manage complex calendars and coordinate meetings across multiple time zones
  • Coordinate domestic and international travel, including detailed itineraries
  • Manage payment and tracking of meeting and itinerary changes
  • Utilize effective judgement in handling mail, email, correspondence, confidential material and requests
  • Provide phone and inbox coverage as needed for team and EA peers
  • Liaise with internal departments, external vendors, and business contacts
  • Support coordination of office events and team functions
  • Manage sensitive materials such as legal documents, presentations, and multi-party signature requests

Qualifications:

  • 3–5+ years of office administration or executive assistant experience, financial services preferred
  • Proven experience supporting multiple senior professionals simultaneously
  • Proficiency in Microsoft Outlook, Excel, Word, and PowerPoint
  • Highly organized and detail-oriented; able to manage multiple priorities
  • Excellent written and verbal communication skills
  • Discreet, professional, and capable of handling confidential information
  • Team-oriented with a proactive, “can-do” attitude
