Job Description

The Flight Desk Operations Coordinator plays a critical role in supporting the sales team by coordinating and arranging support services for private air charter clients. This position ensures seamless execution of client requests, delivering exceptional service and operational efficiency. The coordinator will liaise with sales staff and vendors to arrange ground transportation, catering, accommodations, and other bespoke services as requested, while maintaining compliance with aviation regulations and company standards.

Key Responsibilities:

  • Service Coordination: Arrange client-requested services, including ground transportation, in-flight catering, hotel accommodations, and special requests, ensuring alignment with client preferences and budgets.
  • Vendor Management: Source, negotiate, and maintain relationships with third-party vendors to secure high-quality services at competitive rates.
  • Flight Support: Collaborate with flight operations teams to ensure all client requirements are communicated and met, including insurance requirements, safety checks, special handling, permits, and slot coordination.
  • Communication: Communicate ongoing progress with sales staff, address inquiries, provide updates, and ensure a premium customer experience.
  • Documentation: Prepare and maintain accurate records, including service agreements and itineraries, ensuring compliance with company policies.
  • Problem Resolution: Proactively address and resolve operational issues, such as delays or service disruptions, to minimize client impact.
  • Compliance: Ensure all services and operations adhere to FAA, DOT, and international aviation regulations, as well as company safety and quality standards.

Qualifications:

  • •Education: Bachelor’s degree in aviation management, hospitality, business, or a related field preferred, or equivalent experience.
  • Experience: 1-3 years of experience in aviation operations, hospitality, event planning, or customer service, preferably within the private aviation or luxury travel industry.

Skills:

  • Strong organizational and multitasking abilities with keen attention to detail.
  • Excellent communication and interpersonal skills to interact with clients, vendors, and internal teams.
  • Proficiency in Microsoft Office and CRM systems; experience with aviation software (e.g., Avinode) and Salesforce is a plus.
  • Ability to work under pressure and adapt to last-minute changes in a fast-paced environment.
  • Knowledge of aviation regulations and private charter operations is preferred.

Availability: Willingness to work flexible hours, including evenings, weekends, and holidays, to support 24/7 client needs.

This position is an in-office position located in Fort Worth, Texas.

Physical Requirements:

  • Ability to work in an office environment with prolonged periods of sitting and computer use.
  • Occasional travel may be required to meet with vendors or oversee operations.
