Job Summary

We are seeking an organized and detail-oriented Operations Assistant to support our operations team in driving efficiency across multiple departments. In this role, you will provide crucial administrative and logistical assistance, helping to coordinate schedules, manage documentation, and facilitate communication between teams. Your proactive approach and ability to multitask will ensure smooth daily operations and contribute to the overall success of our team. Key Responsibilities
  • Provide support for the Operations Manager and other senior staff members with various administrative tasks as needed.
  • Provide administrative support, including managing schedules, arranging meetings, and coordinating travel.
  • Organize and maintain electronic and physical files, ensuring easy access to necessary documents.
  • Communicate with team members, vendors, and clients to ensure effective coordination of tasks and projects.
  • Prepare and process operational reports, tracking key metrics and providing regular updates to the team.
  • Handle inquiries and requests from internal teams, addressing concerns or redirecting them to the appropriate department.
  • Identify opportunities for process improvement and assist with implementing solutions to improve efficiency.
  • Ensure compliance with company policies and industry regulations across operations.
Qualifications
  • Proven experience in an administrative, operations, or support role for a minimum of 3 years.
  • Strong organizational skills and attention to detail.
  • Excellent verbal and written communication skills.
  • Ability to handle multiple tasks and prioritize effectively.
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint) and other office software.
  • Strong problem-solving skills and a proactive approach to tasks.
  • Ability to work independently and as part of a team.
  • Ability to maintain confidentiality and handle sensitive information appropriately.
  • High school diploma or equivalent; Associate's or Bachelor's degree in business or a related field preferred but not required.
