Location: Los Angeles area (Beverly Hills / Westwood)

Job Summary

Perform all Production Coordinator tasks related to customer calls, job monitoring, tracking, coordination, and audits of jobs. Create preliminary estimates and job file backup. Perform general office duties, such as drafting correspondence, filing, and creating reports.

Responsibilities

• Maintain and monitor job statuses while providing regular updates
• Create work orders and maintain a work in progress board
• Monitor and ensure insurance carrier requirements are followed
• Review and validate initial field documentation
• Create preliminary estimates
• Complete and review job file documentation
• Review complete job files for accuracy and ensure backups
• Perform all Production Coordinator tasks related to customer calls, job monitoring, tracking, coordination, and audits of jobs
• Dispatch lead calls and job referrals to production crews
• Coordinate production schedule and monitor logistics

Qualifications

• 2+ years of administrative or office-related experience required
• Intermediate to advanced proficiency in Microsoft Excel and Word
• Ability to learn new proprietary software
• Strong organizational skills with the ability to multitask
• Excellent written and verbal communication skills
• Ability to remain calm and professional during tense or stressful situations
• Polite, confident, and able to provide excellent customer service
• High School Diploma/GED
• Associates/Bachelors degree preferred

Helpful to Have

• Auditing, Estimating, or Accounting experience
• 2+ years experience with Xactimate or Xactanalysis
• Experience in Water, Fire, and Mold Restoration, Commercial Cleaning or Construction industries
